Filter SharePoint Sites in tyGraph for SharePoint

tyGraph for SharePoint can be filtered to show a number of perspectives. 


Site URL Settings


To leave the report unfiltered leave the field(s) blank or enter <N/A>.

  1. Connect to your tyGraph for SharePoint Power BI workspace.
  2. Select “More options” for the Dataset.
  3. Click “Settings”
  4. Expand “Parameters”.
  5. Enter the site collection URL(s) that you want to include in your report separated by a semi-colon ( ; ).
    Important: Only include the site address and ensure that there is no forward slash at the end of each URL.

    For example, https://nautilus.sharepoint.com/sites/B2C/Pages/Pricing-52.aspx must be entered as https://nautilus.sharepoint.com/sites/B2C

  6. Click “Apply”.
  7. Return to the tyGraph for SharePoint Power BI workspace.
  8. Click “Refresh now” and wait for the refresh to complete.
  9. If applicable, click “Update App”.
  10. Click the tyGraph for SharePoint Report to confirm that the changes to the report have been applied correctly.




User Attribute Settings


There are some user filters that you use in combination to limit the dataset to a subset of your population. Spaces are allowed between words. Leading and trailing spaces do matter. Filter is case sensitive. Parameter values are semicolon delimited. If you want to filter your dataset for two/three/or more values in the parameters, you have to enter them using semicolons. For the last value in the parameter section, no semicolon is needed. If you do not want to use parameters no 5 and 6, just put <N/A> in those fields.


Let's see an example. Suppose we want the dataset with only URLs where users are from Canada and United States. So, we need to set parameters like this:


After setting up the parameters and refreshing, now we can find the report with only the URLs with users from USA and Canada.

Detail & Summary Periods Settings


These parameters are useful for setting your dataset for success. The dataset for this model can be refined to fit your needs. The combination of these options keeps the dataset light and focused on what matters to this audience. This is controlled in the dataset parameters no 7 and 8. 


Detail Period (Months) - Any information in this report will go back as far as you set this value. This information is very detailed down to the user, day, hour, site, and file.


Summary Period (Months) - We have some summary pages (Executive Overview, Site Collection Summary, External Activity & Inactive Content) that allow you to compare overall trends for a longer period of time without bringing in the extensive detail for your detail period. This keeps the report light and snappy, without sacrificing the ability for you to tell your long-term story. 


Let's see an example. If we set detail period for 6 months and summary period for 12 months, we can see the six months detail period date range in the Content Overview page and the twelve months of summary period date range in the Executive Summary page like this:






Wild Card Settings


In our Share Point report, we can also filter in the expected URLs using wild card feature in the parameter. It will filter and output the URLs only which have the words/characters enlisted in the wildcard parameter. If we use wild card, we have to set 'Yes' to parameter no. 4a. In the parameter no. 3 we have to put the words/ characters using wildcard symbols (% or _) or only the words. The percent symbol (%) signifies zero, one or any number of characters and the percent symbol itself. The underscore symbol (_) denotes a single character, either a letter or a number and the underscore symbol itself. Wild card parameters are case insensitive, if you give lower case characters in the parameter, it will output the URLs where those characters are located both in uppercase and lowercase.


Let me explain this feature with some examples.

Example 1. Suppose we want to see the report for the URLs which have 'search' word inside the URLs in anyplace. So, we will set the parameters like this:



After setting up the parameters we need to refresh the dataset again. Now we can find the report with only the URLs with 'search' word in any place of the full URL.



If your wildcard parameter does not find out any URLs for the word/characters you set in parameter no 3, it will return you a report with every page blank.


Example 2. Suppose we want to see the report for the URLs which have these characters 'de_o' inside the URLs in anyplace. In place of the underscore, it can be the underscore itself, any letter or number. So, we will set the parameters like this:

After setting up the parameters and refreshing, now we can find the report with only the URLs with these characters 'de_o' in any place of the full URL. We see that in place of (_) of 'de_o' our system caught v, p, m, f, c and other characters and returned us the URLs with those:



Example 3. Suppose we want to see the report for the URLs which have the word 'works' inside the URLs in anyplace. So, we will set the parameters like this: 

After setting up the parameters and refreshing, now we can find the report with only the URLs with the word 'works' in any place of the full URLs.



Example 4. Suppose we want to see the report for the URLs which have this special character '&' inside the URLs in anyplace. So, we will set the parameters like this:



After setting up the parameters and refreshing, now we can find the report with only the URLs with this special character in any place of the full URLs.
